# A building supplier network for your branch

Building connections

As a building supplier, use your profile to make the product line and responsible contact clear. Confirm the supply details before promising a quote or delivery.

If your branch adds a product line or you take over a territory, explain who the new offering serves. State the materials you supply, where you serve customers, and who handles questions. Start with a request the buyer can act on. A clear introduction gives a builder somewhere to begin before the stock, quote, and delivery checks.

## Build a supplier profile that helps buyers ask

Give each product line enough context to prompt the right inquiry. Identify the material category and carried brands. Use the [building materials supplier categories](/suppliers/) to frame the kinds of inquiries your branch handles.

Explain which contact handles the request. Keep a brand list separate from a promise about a particular item on the shelf.

Ask a prospective customer about the [scope they buy](/guides/win-builder-accounts/). A builder sourcing a house package and a sub replacing one component need different conversations. Find out who specifies the product, who places the order, and who receives it. Do not assume that the person looking at a project photo owns every purchasing decision.

Builders FirstSource advertises services including delivery and pickup, millwork, window and door specialists, and credit. It also states that services vary by location. Check the local branch's offer before describing your own service package. [Builders FirstSource services](https://www.bldr.com/services).

Use your own branch's confirmed services in your description. If a request belongs elsewhere, identify the correct contact instead of promising support you cannot provide. Keep the explanation current when responsibilities or lines change.

## Give the buyer a reason to keep talking

A supply-house customer describes paying more at suppliers where they have "trusting relationships". [Supply-house rep discussion](https://www.reddit.com/r/HVAC/comments/yzi922/). Ask what would make your service worth choosing, beyond the initial material price.

Ask a builder or trade company which material question it has trouble resolving. Offer to find the appropriate product information or branch contact. Agree a reason and time for the next conversation. Keep the discussion tied to that request rather than sending repeated general pitches.

NAHB includes suppliers and manufacturers among its associate members and describes opportunities to network with builders and remodelers. Those are association opportunities, not a claim that membership produces orders. Ask the local association which activities suit the customers you serve. [NAHB member categories](https://www.nahb.org/why-nahb/types-of-membership/builders-associates-and-affiliates).

In an NBMDA article, consultant Mark Mitchell recommends taking an active role in customer associations. He uses examples of representatives contributing to association work. Treat this as sales guidance and anecdotal experience, not measured evidence of a revenue increase. [NBMDA association-sales guidance](https://channelconnection.nbmda.org/Full-Article/how-to-use-associations-to-grow-your-building-materials-sales).

For a new territory, begin with a clear account of the business you represent. Ask which relationship the customer already has with your company. Confirm which promises are outstanding before making new ones. Use your employer's records for account ownership and follow-up.

## Qualify the inquiry before the quote

Ask for enough information to identify the actual supply need:

- Material category and required product or specification.
- Quantity and the basis of the [takeoff](/glossary/#material-takeoff).
- Project area and the required date.
- Pickup or delivery expectation.
- Site access and receiving contact.
- The person who approves a substitution.
- The person who places the order.

Send the open questions back together. If the quantity is provisional, label it that way in your own quote process. Ask the customer to identify the current drawing or selection. Confirm which information you are using before the quote becomes an order.

For delivery, use the branch's actual process to establish a date and receiving arrangements. Discuss the full package and any separate shipments. Keep stock availability, lead time, and an agreed delivery distinct. A conversation about a brand cannot settle those items.

## Track the work that a weak introduction creates

The new supply-house rep in that discussion describes visits where companies ask for pricing books and others seem annoyed. [Rep-introduction discussion](https://www.reddit.com/r/HVAC/comments/yzi922/). Qualify the contact before repeating a visit.

Note inquiries that arrive without a specification or quantity. Record repeated calls needed to reach the buying contact. Identify requests sent to the wrong branch. Those are useful places to improve the information you present.

Record whether an inquiry becomes a quote, an order, or a follow-up. If a request stalls, note the missing detail and who can answer it before the next call.

For [material photos](/guides/construction-portfolio/), explain what your business supplied and how it relates to the request you want. Get permission before showing a customer's project. Avoid implying that your branch designed or installed something it only supplied.

## Job examples (illustrative)

- **Window package:** For a window inquiry, ask the buyer for the selected product, current opening schedule, and required date. Confirm the purchasing contact before the branch prepares its quote.

- **Framing-material request:** For a framing-material request, identify the drawing revision and quantity list the buyer is using. Confirm pickup or delivery, site access, and who receives the package.

- **Plumbing product substitution:** If a requested plumbing item is unavailable, send the proposed alternative to the person responsible for approval. Confirm the accepted selection through your branch’s normal order process.

## Match the need to the feature

| Your need | Cercha feature | Your next check |
| --- | --- | --- |
| Identify the physical-material business | Building Supplier category and Profile | Confirm the applicable branch and service area |
| Explain carried product lines | Supplier Brands list | Confirm the exact product and current availability |
| Show material in project context | Gallery | State your contribution and confirm photo permission |
| Reach a person | Profile contact person and Messages | Direct the inquiry to the responsible buyer or supplier contact |

## What stays in the supplier's systems

Keep quotes, inventory checks, credit applications, orders, and [delivery arrangements](/glossary/#jobsite-delivery) in the systems your company uses. Confirm dealer authorization, the specific product, and stock with the supplier. Keep an accepted order separate from a discussion about a carried brand.

Use the supplier profile's named contact for the introduction. Keep your employer's territory, account ownership, and account records in its approved systems.

## Where Cercha fits

Cercha launches first in the [Raleigh-Durham Triangle](/triangle/). Outside the Triangle, [join the market waitlist](/beta/).

Cercha's Building Supplier profile and Brands list let a member identify what your business carries. Gallery adds work context, and Messages starts the conversation you qualify through your normal supply process.

## Questions

### What should a building supplier show in a profile?

State the business, area served, responsible contact, and brands carried. Keep the explanation specific to physical building materials and direct stock or quote questions to the right person.

### How can a rep meet residential builders?

Start with the builders and trades whose work matches the materials you supply. Use existing relationships and relevant association participation, then approach a named contact with a useful project question.

### What belongs in a first supply request?

Ask for the material or specification, quantity, site area, required date, and person responsible for purchasing. Clarify delivery, pickup, and any approved-substitution requirements before preparing the quote.

### Does a listed brand mean the material is in stock?

No. Confirm the specific product, quantity, location, and availability with the supplier. A carried-brand list does not establish stock, dealer authorization, price, or delivery timing.

### How should our branch confirm and manage a material order?

Confirm stock, quotes, credit, orders, and fulfillment through your branch’s normal systems. Use Cercha’s Messages to begin the supply discussion with another member.
