What a pro desk does for builders and trades

You need a material quote, a pickup, or help locating a specified product. A pro desk is a store’s dedicated purchasing support point for trade customers. Ask the local desk which services it provides and who will own your request.

Tell the pro desk what you need

If you need a material quote, pickup, or order change, start with the store’s pro desk. Lowe’s describes planning support, blueprint takeoffs, material lists, quoting, and inventory and delivery assistance on its Pro Desk page. Confirm the services and terms at the store you plan to use.

Ask for the person who handles your product category or account. Explain whether you need a price, stock confirmation, an order change, a pickup, or delivery arrangements. Be clear about which task you need handled.

Bring the exact product identifier when you have it. If you need help identifying a product, provide the specification and intended use. Do not treat a photo of a similar item as enough information to order.

Before leaving, confirm the quote or order reference, open questions, and how the desk will answer them. Save the contact name with that reference.

Find out what the desk and outside rep each handle

The pro desk is a store-based support point. An outside sales rep is a customer contact who works beyond the counter. The Home Depot’s outside sales description gives examples of jobsite visits and coordination with internal quoting teams and vendor partners.

Builders FirstSource lists delivery, pickup, and specialist services while noting that service availability varies by location.

Ask the store who handles each part of your account. You might work through a desk for pickups while an outside rep coordinates a larger package. Confirm that arrangement with the store.

Request Ask the desk or rep to identify
Walk-in pickup Who confirms the list and releases the material
Package quote Who receives the drawings and coordinates questions
Special-order item Who checks selections and confirms vendor acceptance
Delivery problem Who connects you with dispatch and records the issue
Account terms Who has authority to answer credit and payment questions
Technical question Which specialist or manufacturer supplies the answer

Use this checklist to ask who handles each task; services vary. Ask who covers the account when your usual contact is away. Save the main and backup contacts for each task.

For the ongoing relationship, the building materials sales rep guide explains what a useful account contact should keep clear. The desk and rep should work from the same project documents and order reference.

Bring a complete quote request

Tell the desk what you are building and which scope you want priced. Include the project name, current plan revision, specified products, and quantities or the basis for them. State which phase you are buying for. Ask where to send drawings so the correct person receives them.

Builders FirstSource’s myBLDR portal supports reviewing quote quantities and prices, submitting purchase orders, and requesting delivery dates.

If you want a takeoff, agree what it covers before using it to order. Ask what material categories are included, who checks quantities, and how revisions return to the estimator. Read the material takeoff guide before requesting a full package from plans.

Ask for itemized lines where they help you compare the package. Identify delivery charges, handling, accessories, and exclusions. List requested materials and proposed alternatives separately.

Clarify whether the response is an estimate, a formal quote, or an accepted order. Ask when the quote expires and what reserves or orders the material. A quote does not mean the package is ready for pickup.

If a detail is missing, ask the desk to hold that line open. Assign the question to the person who can answer it. Do not let an unanswered question become a product selection.

Ask about special orders before scheduling labor

The Home Depot advertises special-order products beyond its store assortment. Ask about products you cannot find in the aisle. Confirm whether the local desk can supply them and how long they take.

Send the product line, size, finish, configuration, and accessories needed. For windows and doors, ask the responsible trade to verify the opening information and handing. For other materials, identify the specification that controls the selection.

Before placing the order, ask the desk to confirm:

Terms vary by desk and order. Save the answers with the order confirmation. The special orders and lead times guide explains how to translate those answers into a crew schedule.

Ask about the complete package. Missing trim or an accessory can stop the installation. Ask for a status on each outstanding item.

Set account access and purchasing authority

Opening a customer profile, joining a retailer program, and receiving credit approval are different actions. Builders FirstSource, for example, directs customers through a credit application and credit team. Do not assume that a store login gives you permission to buy on terms.

Identify the business responsible for purchases. Ask the supplier what documents it requires and how it confirms authorized buyers. The contractor supply account guide covers the questions to resolve before the crew starts using the account.

List what each person can approve or collect. Name who can request quotes, place orders, approve changes, collect materials, and receive invoices. Ask the supplier how those permissions appear in its system. Someone allowed to receive a delivery may not be allowed to order a replacement.

If a builder lets a sub collect material, define the project and order reference. Do not send the sub with only a company name and an instruction to charge what they need. Ask how additional purchases return to the authorized person for approval.

Remove departing employees from purchasing access through the supplier’s process. Confirm the change in writing. Keep business account access under the business’s control rather than sharing a single personal login among the crew.

Close the loop after pickup or delivery

Before a pickup, confirm the package is prepared and ask which lines remain outstanding. Bring the order reference and the required authorization. Compare the supplied material with the order using the supplier’s receiving process.

After a shortage or damage issue, return to the exact order. Send the affected item, quantity, photos where useful, and the receiving notes. Ask whether the next step is a replacement, return, credit request, or technical review.

Keep the original invoice and any later correction together. If the desk directs the issue to dispatch, credit, or a product specialist, record that handoff. Ask who will give you the next update and when.

For the next purchase, reuse the account details and update the job details. Do not reuse an old plan revision or selection sheet just because the previous order went well.

For supplier reps, use winning builder accounts to define the first purchase and the handoff between the desk, buyer, and site.

Where Cercha fits

Cercha supplier profiles show brands carried, and Messages gives members a way to begin contact. Those features help you identify a supplier relationship before taking the material request to its desk or rep. Ask the supplier directly about stock, quotes, account terms, and delivery.
